Registrar

The Registrar is responsible for a broad range of registration functions of which primary duties include the care, maintenance, and preservation of art works in the Permanent Collection and the performance of registration functions relative to temporary exhibitions including loan agreements, condition reports, insurance, transit arrangements and documentation. The Registrar develops and refines record keeping systems; establishes new records; develops and enforces protocol for storage, transport, and all movement of objects. The Registrar reports directly to the Curator.

 

Major Areas of Responsibility:

Exhibition Planning and Realization

·        Prepares and distributes loan agreements

·        Facilitates the shipment and transit of all exhibition objects

·        Coordinates Fine Art Insurance for museum collection objects and incoming and outgoing loans.

·        Responsible for incoming and outgoing condition reporting

·        Maintains Embark software to reflect all MOCA exhibitions and insurance coverage.

·        Supports curator and Exhibitions Manager in the development of temporary and permanent collection exhibitions as needed.

·        Coordinates and clears rights and reproductions.

·        Ensure that all installation crew members follow best practices for the handling of fine art.

 

Collection Management

·        Maintains Embark collections management software, which includes: updated artist, donor, and object information; condition report and, if applicable, conservation history; appraisal or valuation; location record; id photos and, as needed, high resolution photos for reproductions.

·        Secures on-site and off-site storage for the permanent collection as well as objects on loan.

·        Coordinates activity for the care of the collection with outside contractors including but not limited to conservators and photographers.

·        Prepares collection objects for use on the MOCA website, insuring the quality of the images and “tombstone” information is accurate.

·        Oversees the preparation of collection objects for display in well as in cameo exhibitions

·        Contributes to the development of budgets for collection storage, conservation, documentation and presentation.

·        Receive, photograph, catalog, research, and prepare for display or storage all objects, photographs, archival documents, and library materials entering the museum's collection. Manage all paper and digital documentation related to accessions, loans, transfers, and other collections-related transactions.

·        Insures that the environmental conditions in the MOCA facility meet the standards of the American Alliance of Museums(AAM). Responsible for the monitoring of the storage and exhibition space in regards to temperature/ humidity, environmental hazards safety, cleanliness, and ongoing maintenance concerns.

·        Manages loans to outside institutions.

·        Takes part in the implementation of the Museum’s Emergency Plan.

·        Monitor climate conditions to ensure that MOCA meets museum standards.

 

Qualifications

·        A minimum of two years registration or collections management experience in a museum environment.

·        Extensive knowledge of AAM’s and ARC’s registration standards.

·        Excellent organization skills.

·        Strong verbal and written communication.

·        Ability to work well independently and as part of a team.

·        Sound judgment and diplomacy.

Requirements

·        Bachelor’s of Art required, with coursework in Art or Art History preferred.

·        Knowledge of Embarkor other collections management software.

·        Understanding of various workflow, project management and communication apps.

·        Experience using Adobe Acrobat Pro.

·        Mastery of the MS Office Suite. Desired

       Bilingual in Spanish and/or Haitian Creole.

 

This is a full-time, salaried position, with a Monday-Friday schedule. Occasional early morning and/or evening work required for installations and special events. A level 2 background check will be required upon offer of employment.

Compensation: Starting at $55,000, depending upon experience, including a competitive benefits package.

Director of Finance

The Director of Finance is a dynamic and experienced member of MOCA’s team that plays a crucial role in overseeing all operational aspects of the museum’s finances. The Director is an expert in in database management, financial controls and best practices. The ideal candidate ensures compliance while fostering a culture of support and collaboration across departments. The Director participates in the short-and-long term financial planning of the organization and drives financial sustainability to support our mission.

Essential Roles and Responsibilities

Financial Planning: Strategy & Budget

• Develop, in collaboration with the Deputy Director, financial strategy to support the organization's goals and long-term sustainability.

• Lead the preparation of the annual budget.

• Oversee implementation of financial plans and annual budgets for each department.

• Monitor and analyze financial performance across departments and provide regular reports.

Financial Reporting

• Prepare accurate and timely monthly, quarterly, and annual financial reports.

• Provide regular updates for various internal and external stakeholders on all finance functions and activities.

Financial Operations: Accounting and Finance

• Oversee all accounting and finance functions of the organization (including the 501(c)3 and the City of North Miami requirements).

• Ensure all fiscal practices meet the highest standard of integrity and compliance.

• Oversee and implement financial policies and procedures that maintain an effective internal control environment and oversee adherence to policies.

• Continually work toward promotion of efficiency and effectiveness of all finance functions, via process and workflow improvements.

• Provide accounting and financial related assistance to other departments, including participation in training staff on fiscal procedures and budget management as needed.

• Perform year-end accounting system close, including the production of 1099 forms.

• Lead annual audit preparation and Form 990 submission.

• Process payroll.

• Develop and maintain effective tools for managing grants, supporting grant budget preparation, tracking, and reporting.

Qualifications:

• Bachelor’s degree in Finance, Accounting, or related field. MBA or CPA preferred.

• A minimum of 5 years of relevant, progressive work experience, in the nonprofit sector.

• Strong knowledge of nonprofit accounting principles, regulations, and best practices.

• Excellent analytical skills with the ability to interpret complex financial data.

• Proficiency in financial software.

• Exceptional communication skills with the ability to present financial information clearly to diverse audiences.

• Strategic thinker with a track record of driving financial sustainability and growth.

• Ability to work well in a small, fast-paced, entrepreneurial team environment.

Requirements

• Bachelor’s Degree in Finance, Accounting, or Business (or equivalent experience)

• High-level experience using accounting software

• Mastery of Microsoft Office Suite

Desired

• Masters Degree or Certified Public Accountant Certification

• Experience with Financial Edge NXT, EDEN, and Altru

This is a full-time, salaried position, with hours typically Monday-Friday 9:30am-5:30pm. The position will require some early morning, late evening, and weekend hours as necessary due to museum events or other relevant meetings. While generally an in-person position, the museum does provide provisions for occasional hybrid work. A level 2 background check will be required upon the offer of employment.
