Membership & Donor Relations Manager

MEMBERSHIP AND DONOR RELATIONS MANAGER

The Museum of Contemporary Art North Miami seeks an experienced and dynamicMembership and Donor Relations Manager to help grow the museum’s private support. Reporting to the Director of Development, they will oversee the museum’s membership program, and secure essential funding from individuals and corporations to support the museum’s operations, exhibitions, programs, community engagement efforts, special events, and other strategic initiatives. This position also ensures that donors experience high-quality interactionswith the museum, fostering long-term engagement and support.

  

MAJOR AREAS OF RESPONSIBILITY

●       Develop and implement an annual membership/annual giving plan, meeting or exceeding annual revenue goals.

●       Produces high-quality correspondence, proposals, decks, printedmaterials, online content, and monthly membership e-blast.

●       Maintains an attractive suite of benefits for individual and corporatemembers and ensures benefit fulfillment.

●       Conceptualizes year-round calendar of member and donor events, and works closely with Events Specialist to execute those events.

●       Designs and launches compelling, innovative, and successful membershipacquisition campaigns, including annual Miami Art Week packages.

●       Oversees multi-step membership renewal process.

●       Establishes and manages membership affinity groups.

●       Oversees MOCA’s annual Give Miami Day campaign.

●       Works closely with the Director of Development to meet annual goals for A Night in Paradise Gala, including sponsorships, tables, tickets, donations, and ad revenue.

●       Produces revenue reports and track progress toward annual revenue, member household, retention, and acquisition goals.

●       Is responsible for the discovery, cultivation, solicitation, and stewardship of a portfolio of prospects and donors, with an emphasis onmembership, Curator’s Circle, and corporate partners.

●       Researches, identifies, and engages new prospects, drafting introductory meeting inquiries, follow up correspondence, and funding proposals.


●       Maintains an active calendar of face-to-face cultivation and solicitation calls.

●       Actively solicits and closes gifts of up to $10,000.

●       Devises and implements a comprehensive donor relations and stewardship plan to strengthen donor engagement and re-engage lapsed members.

●       Builds meaningful relationships with donors and strategically progresses qualified donors through the major gifts pipeline.

●       Manages an efficient moves management system and pipeline for the Development Department in close collaboration with the Director of Development.

●       Serves as the decided staff liaison for the Institutional Advancement and Gala Sub-Committees of the board.

●       Ensures smooth administrative operations within the Development Department.

●       Represents the museum at conferences, meetings, and events.

 

 QUALIFICATIONS.

●      For special events, must be ableto remain standing for several hours at a time. Position may require occasionallifting of 25 pounds or less.

 

REQUIREMENTSAND SKILLS

●      A minimum of three years ofexperience in a front-line non-profit fundraising role, preferably in the arts.

●      Knowledge of professionalfundraising principles, practices, and fundraising tools.

●      Proven ability to build andmaintain relationships with funders.

●      Experience communicating with funders on the phone, via email, and in-person.

●      Proficient in Microsoft Office Suite.

●      Experience with donor databases/CRMs.

●      Experience conceptualizing special events.

●      Ability to learn new skills and tools quickly and proficiently.

 

DESIRED

●      Experience working in anarts/cultural setting in South Florida.

●      Experience with the followingfundraising tools: Altru CRM, iwave research software, Membership Anywhere digital membership cards

●      Experience with project managementsoftware, specifically Monday.com

●      Bilingual in Spanish and/or Haitian Creole.

 

This is a full-time, salaried position thatrequires limited early morning, late evening and weekend hours as necessary,especially during periods of high volume (Miami Art Week, exhibition openings,etc.). A level 2 background check will be required upon the offer ofemployment.

 

Reports to: Director of Development

 

Compensation: Salary starting at $60,000 annually, commensurate with experience andincluding an excellent benefits package.

Development Assistant

POSITION SUMMARY:

The Museum of Contemporary Art North Miami (MOCA) seeks a Development Assistant to support the administrative functions of the museum’s development department. This position is responsible for maintaining donor records, contracting, invoicing, processing gifts, and producing acknowledgement letters and other donor communications. They also provide critical support for development initiatives and events. Reporting to the Director of Development, they will help advance the museum’s strategic efforts to secure contributed revenue, including individual, membership, corporate, government, and foundation support.

 

MAJOR AREAS OF RESPONSIBILITY:

  • Ensures smooth administrative operations within the Development Department.
  • Maintains donor records, processes gifts, and pulls queries and reports from the museum’s CRM system, Altru.
  • Conducts prospect research on potential individual, corporate, and foundation funders.
  • Updates the development prospect and moves management system to ensure timely follow-up and long-term relationship building.
  • Prepares solicitation letters, decks, contracts, and donor reports.
  • Submits invoice requests and tracks donor payments.
  • Produces acknowledgement letters, membership cards, and other donor communications.
  • Attends bi-weekly grants meetings and completes administrative tasks associated with grants, including preparing and mailing documents, contract execution, and updating grants pipeline tracking system.
  • Assists in the planning and execution of development initiatives such as the museum’s annual Gala, membership acquisitions, and annual appeals.
  • Assists in the planning and execution of development meetings, programs, and special events, including calendar management, event registration, invitation management, and attendance tracking.
  • Schedules development meetings and tours for members, donors, and prospects.
  • Works with the development team to complete benefit fulfillment for all members and donors.
  • Other duties as assigned.

 

QUALIFICATIONS:

REQUIREMENTS AND SKILLS:

·      Minimum two years of administrative experience in an office setting

·      Proven ability to build and maintain relationships with donors/customers/clients

·      Experience communicating with donors/customers/clients on the phone, via email, and in-person

·      Proficient in the Microsoft Office Suite.

·      Ability to learn new skills and tools quickly and proficiently

·      Ability to maintain donor confidentiality

·      Ability to work some evenings and weekends

 

DESIRED:

·       Experience working in an arts/cultural setting, preferably in South Florida.

·       Knowledge of professional fundraising principles, practices, and procedures.

·       Knowledge of fundraising research tools (iwave, Candid, etc.)

·       Experience with CRM/donor database systems (Altru) and membership software (Membership Anywhere).

·       Track record of planning and executing meetings, programs, special events.

·       Experience with project management software (Monday.com)

·       Bilingual in Spanish and/or Haitian Creole.
